This Privacy Notice applies to the online product sample request and is provided in accordance with Regulation (EU) 2016/679 (GDPR).

2. What data we collect

When you request product samples via Microsoft Forms, we collect:

  • first name and last name
  • business email address
  • phone number
  • company name and shipping address

Only data strictly necessary to manage your request, including shipment and delivery of the requested product samples, are collected and processed.

3. Why we need your data

We need your data only to:

  • ship and deliver the requested product samples
  • manage communications related to the shipment
  • handle any directly related follow-up activities

Providing your data is necessary to ship the samples. Failure to provide such data will make it impossible to manage the shipment.

4. Legal basis

The processing of your data for shipment and delivery of the requested product samples does not require explicit consent, as it is necessary to take steps at the request of the data subject prior to entering into a contract (Article 6(1)(b) GDPR).

Subject to your explicit consent, your personal data may also be processed to send marketing communications, including information about products, news and offers. The legal basis for this processing is Article 6(1)(a) GDPR. You may withdraw your consent at any time without affecting the lawfulness of processing based on consent before its withdrawal.

5. Who processes your data

We use Microsoft Forms to collect your data. Microsoft acts as a data processor (and sub-processor) under a Data Processing Agreement pursuant to Article 28 GDPR.

Your data may also be shared with shipping and logistics providers for the purpose of delivering the requested product samples.

6. Data retention

We keep your data only for as long as needed to manage the shipment and delivery of the requested product samples and any related follow-up.

If you have given your explicit consent for marketing activities, your data will be retained until you withdraw your consent or, where applicable, after a period of inactivity, in accordance with applicable data retention policies.

7. Your rights
